What is Cisco Webex?

Webex Meetings is one of the collaboration tools Seneca uses for online meetings and conference calls.  Faculty will also be able to use it as a teaching tool for online classroom sessions as needed.  As a host, you can create a meeting and share the details with your participants through Microsoft Outlook or by posting the meeting information in My.Seneca.  As the host, once you start the meeting, participants can join in via their computer, tablet, smartphone or audio-only phone. 

Webex Meetings can be installed on your laptop computer and optionally on your mobile phone.  In most cases, ITS will have already installed Webex but if you have issues or wish to install Webex Meetings on an alternate computer, follow these steps to install Webex on a desktop or laptop.

Webex is automatically set up for all full-time employees.  If you are a part-time employee and would like to request access to Webex, please send a request to itsrequests@senecacollege.ca with the Subject line containing "Part-time staff Webex Request".  This will ensure the request gets routed properly.

Quick Tutorial - Webex

     

Installing Webex on a desktop or laptop computer:

  1. Access http://seneca.webex.com with your web browser and locate the "Sign In" button on the top right.  Click that button.
  2. Log into Webex with your email address and your Seneca password.
  3. Locate the "Downloads" link on the left hand menu and click it.
  4. Download and install "Cisco Webex Meetings Desktop App".  This will install the Cisco Meetings desktop app.
  5. (Windows only) Download and install "Cisco Webex Productivity Tools".  This will add the Webex "Schedule Meeting" button to Outlook (make sure you close and re-open Outlook to see the button).

Installing the Webex Mobile App on your mobile phone:

  1. Access http://seneca.webex.com with your web browser and locate the "Sign In" button on the top right.  Click that button.
  2. Log into Webex with your email address and your Seneca password.
  3. Locate the "Downloads" link on the left hand menu and click it.
  4. Scroll down the page and locate the "Mobile App" information. 
  5. Select the Apple App Store or Google Play button depending on your mobile phone type.
  6. Follow the normal app installation procedures for your phone.
  7. Note: You should always use Wi-Fi on your phone for the best experience.  Data charges may apply if you use your mobile phone data plan.

 

Getting started with Webex

Here are some quick tutorials on how to do the most common Webex tasks.

Scheduling a Webex Meeting in Outlook

  1. Click on Schedule Meeting icon from the toolbar:
    1. From the drop down box choose: 
      1. Schedule Webex meeting.
      2. A meeting information page will pop up. It will populate all the default meeting information.

All the information the participants need to join the Webex meeting will populate in the email invite.

  • You can now customize your meeting invite in the email:
    • TO field enter participants
    • Subject field enter meeting topic
    • Location field enter either Webex or a selected room where all participants will meet for the Webex meeting
    • Choose Start time and End time
    • You have the option to make this a recurring meeting

Scheduling a Webex Meeting in Outlook on the Web

  1. Click the Calendar icon
  2. Click New Event
  3. Click the ellipsis on the toolbar:
    1. From the drop down box choose: 
      1. Cisco Webex Meeting Scheduler
      2. Add Webex Meeting

All the information the participants need to join the Webex meeting will populate in the email invite.

  • You can now customize your meeting invite in the email:
    • Add a Title
    • Invite attendees
    • You have the option to make this a recurring meeting
    • Select your date, choose Start time and End time

Joining the meeting

When it is time to join the meeting go to your calendar and open up the meeting invite.  A screen will pop up with all the meeting information. Including the meeting number and password. The options to join the meeting will be in light blue…click on your choice of joining the meeting.

  • If you ‘Join Webex meeting’ your Webex meeting application will open up.
  • If you are the host, enter your username and password. 
  • If you are a participant, the Launch Application will popup. Click Cisco Webex Meeting, select Remember my choice for wbx links and click Open Link. enter your name and email address. You are now in the meeting.

End the meeting

To leave meeting as a participant you must click Leave Meeting on the Webex window Quick Start page.

If you are the host you will also have the option to End or Leave the Meeting. As the host if you leave the meeting another person will be assigned as the host.
